Terms and Conditions for Studio Hirers of The Society Academy Dance Studios

General Terms

1. Studio Usage:

   • Hirers are permitted to use only the studio(s) booked during the agreed hire time. If another studio is used without prior booking, the hirer will be invoiced for the use of both the originally booked studio and the additional studio.

2. Restricted Areas:

   • Reception is off-limits unless prior agreement is made with The Society Academy.

   • The storage area and all items within it are off-limits unless prior agreement is reached with The Society Academy.

3. Key Management:

   • Studio keys must be collected from the lockbox at the agreed booking time. The lockbox code should only be shared with the leader of the hiring group to protect the security of the premises and neighboring properties.

   • Keys are non-transferable and must be returned upon the completion of the hire agreement. Lost or unreturned keys will necessitate a replacement of the studio lock system, with the costs incurred by locksmiths charged to the hirer.

4. Venue Condition:

   • The venue, including the toilets and kitchenette, must be left in the condition it was found. A cleaning fee of up to $500.00 will be charged if additional cleaning is required.

   • All doors must be closed, electrical devices switched off, and the front door locked upon departure. Keys must be placed back in the lockbox after use.

   • All rubbish from the hirer must be thrown in the bins provided in the garbage area of the complex.

5. Cancellation and Non-Attendance:

   • Cancellations must be made at least 48 hours before the booking time. Failure to cancel within this timeframe will result in a cancellation fee of 50% of the total booking fee.

   • No refunds or transfers are available for missed booking times.

6. Damage and Liability:

   • Any damage to equipment or the studio during the hire period must be paid for by the hirer. The cost of damages will be invoiced.

   • Hirers use the studio and equipment at their own risk and waive any rights to legal redress for accidents, mishaps, or loss during their time on the premises.

   • The Society Academy is not liable for any accidents, injuries, or losses incurred by the hirer or their patrons.

Specific Rules

1. Facilities Access:

   • Hirers have access to the following amenities:

     • Air conditioners and fans (must be turned off completely after use; failure to do so will incur a $50 fee per 24 hours left running).

     • One speaker system, which must be switched off after use.

     • One iPhone headphone adapter.

     • RGB lighting, adjustable via remotes or manually.

     • Bathroom facilities.

   • Alcohol is prohibited. Other drink spills must be cleaned immediately using the mop and signage provided.

   • Smoking is not allowed inside the premises. Cigarette butts must be disposed of in the bin outside.

2. Reception Area:

   • The reception area is off-limits unless prior approval is granted. If the desk is required for registering customers, this must be communicated before the hire.

   • Stationery, signs, noticeboards, and other materials in the reception area must not be disturbed.

3. Patron Management:

   • Hirers are responsible for ensuring patrons adhere to these terms and conditions.

   • The car park is shared with other tenants. Be mindful and respectful of this shared space. Additional parking is available on Kent Street.

   • Hirers are responsible for any legal infractions caused by themselves or their patrons during the hire time.

4. Insurance:

   • Hirers are encouraged to carry public liability insurance valued at $10,000,000. A copy of the insurance certificate must be emailed to [email protected] prior to accessing the premises.

5. Lost or Damaged Items:

   • Any lost items from the reception or studio will be charged to the hirer.

6. Compliance and Accountability:

   • Hirers are expected to communicate and enforce these terms with their patrons to ensure the safety and integrity of the venue.

   • Non-compliance may result in additional charges, forfeiture of future booking privileges, or legal action if necessary.

By proceeding with the hire, the hirer agrees to all the terms and conditions outlined above and acknowledges their responsibility to comply with and enforce them.
