A SpacetoCo booking is mandatory if you wish to hold a public event or organised sporting, fitness or recreation activity at one of the Shire’s parks or reserves. Bookings are also required for private social gatherings if you will be arranging a bouncy castle or other such activity which may impact public users of the park or reserve. This will ensure that the reserve is suitable for the requested activity and that it is available during the time you wish to hold your event. No other bookings will be accepted for the area you requested, however casual users may still use the general vicinity (family picnics, dog walkers, etc.). The area you have booked will not be fenced off to the general public. An event organiser can request exclusive use of a public space - this will incur a higher fee than what is listed on the SpacetoCo website and require the submission of an event application form. It is at the discretion of the event organiser to allow or deny access to the event and to fence, rope or section off the required area.
Booking a park/reserve does not provide exclusive use of public infrastructure such as the playgrounds, gazebos and BBQ's but these can be used during your booking if vacant.
You must have a copy of your confirmation email on the day of your event as a proof of booking.
Vehicle access is not permitted on any park or reserve by any person without a vehicle access permit.

You must have sufficient bins available for the collection and storage of any waste generated by your event/bookings public space rubbish bins must not be left overflowing.
The event organiser will be liable to pay the costs to repair any damages to Shire infrastructure and/or the reserve as a result of any activity associated with your booking. Any repairs costs will be determined by the Shire after the event and invoiced to the applicant.
You must comply with any lawful direction from Shire Officers.
The Shire has no responsibility in the management of your event/booking. The event organiser is entirely responsible for controlling all activities associated with their event and all of its guests/patrons. The event organiser must make its own risk assessment of the location and event activities and take all reasonable steps necessary to minimise those risks.
Alcohol is permitted strictly on the basis that the event/function is for less than 100 people and does not exceed more than 2 hours.
The event organiser must not create disturbance to other users of the reserve/park or nearby residents and businesses, including unreasonable noise.
If keys are required for the booking, a copy of your photo ID (Drivers Licence, Passport, or Proof of Age Card) must be provided upon collection. If you wish for a third party to collect a key on your behalf, this must be organised and approved by the Shire in writing prior to the collection of the key. There is a key deposit fee.
